Scope & fit

01What exactly can KX Digital automate?

KX Digital focuses on lead handling, missed-call recovery, qualification, CRM updates, follow-up, booking intake, customer communication, knowledge retrieval, reporting, reviews and cross-tool handoffs. A workflow is recommended only when the trigger, rules, data and ownership are clear enough to operate safely.

02Do I need to replace my current CRM or software?

Usually not. The first step is to map the tools that already work. Replacement is considered only when access, reliability, cost or integration limits make the desired workflow impractical.

03Will AI talk directly to my customers?

It can, but it does not have to. Some workflows use AI only to classify, summarize or draft internally. Customer-facing AI should use approved knowledge, clear limitations, logging and escalation.

04What happens if AI gives the wrong answer?

No AI system should be treated as automatically correct. Boundaries, approved sources, validation, fallback replies, logging and human review are used according to the risk of the action.

05Can a human approve bookings or important actions?

Yes. Approval can sit before booking, sending, updating a consequential record or making any important customer commitment.

Lead response & communication

01Can the system handle missed calls?

Yes when the phone provider exposes a reliable missed-call event. The system can acknowledge the caller, collect details, create a lead and alert the team. Compatibility is confirmed during discovery.

02Can it work outside business hours?

Automations can run outside office hours, but after-hours wording, escalation and availability claims must follow your actual policy.

03Can automation send SMS, email or WhatsApp?

Yes where the selected provider, account permissions, recipient consent and local rules allow it. Channel costs and platform approval requirements vary.

04Can it update my CRM automatically?

Yes when the CRM provides a suitable API or integration. Field mapping, duplicate handling, permissions and error recovery are tested before launch.

05Can it follow up with leads?

Yes. Sequences can be based on source, stage, service and consent, with approved timing and messages.

06Can it stop following up when a customer replies?

Yes when replies or status changes are available to the workflow. Stop conditions and opt-out handling are essential design requirements.

07Can it detect urgent enquiries?

Rules or AI can flag urgent language for priority review. The workflow should not diagnose an emergency or make an unapproved dispatch promise.

08Can it answer questions using my own business information?

Yes. Suitable policies, service information and knowledge can be approved as sources. Access, freshness and retrieval quality must be maintained.

09Can it generate estimates?

It can collect estimate inputs or draft information for review. Final pricing should come from approved rules, current systems or a qualified person rather than an unconstrained AI guess.

10Will it invent pricing or availability?

A properly designed system is instructed not to guess. Pricing and availability can be excluded, retrieved from approved systems or held for human confirmation. No safeguard makes AI infallible, so higher-risk commitments should stay controlled.

Time, cost & accounts

01How long does implementation take?

A focused pilot is commonly planned around a two-to-four-week target, while connected systems may need four to eight weeks or more. Timing depends on access, integrations, record accuracy, feedback and approval requirements.

02How much does automation cost?

Project investment is quoted after the workflow audit because platform access, customer-facing messages, testing and support needs can change the scope significantly.

03Are AI, SMS or phone usage charges included?

Normally not. Third-party usage and subscription charges are billed separately or through accounts owned by the client unless the written scope states otherwise.

04Who owns the Twilio, API or software accounts?

Production accounts should remain under the client’s control where practical. Access can be granted with the least privilege needed for the workflow.

05What happens if an integration fails?

Safe operations can retry, duplicate protection can prevent repeated actions, and unresolved exceptions can be logged and sent to an owner. The exact recovery path depends on the systems involved.

Reliability, handover & measurement

01Is the workflow monitored?

Launch includes visibility appropriate to the workflow, such as execution history, alerts, error queues or periodic review. Ongoing monitoring can be part of a maintenance scope.

02Can my team edit the system later?

The goal is an understandable system with documentation. Edit access depends on the platform and agreed handover; important production changes should still be tested.

03Do you provide documentation?

Yes. Deliverables can include the workflow map, connected systems, credentials ownership, business rules, failure handling, day-to-day operating notes and change records.

04Can we start with a small pilot?

Yes. Starting with one measurable workflow is usually the clearest way to test usefulness, record accuracy and team adoption before connecting more operations.

05How do we measure ROI?

Measurement should compare the current starting point with response speed, completion rate, manual touches, error or exception rate, capacity, opportunity progression and operating cost. Revenue attribution is used only when the data supports it.

06Do you work internationally?

KX Digital works remotely with businesses internationally. Messaging, privacy, tax, language and platform requirements are checked for the locations involved.

07Which industries are a good fit?

Service-led teams with recurring enquiries, follow-up, scheduling, customer questions and cross-tool coordination are often a good fit, including HVAC, plumbing, electrical, roofing, field services, agencies and B2B operations.
